Patient Billing
 

Accounts module gives summary of services rendered and all financial information from a patient perspective. It allows the user to print patient statements based on the aging of the account. Payments and adjustments can be posted directly to the account using this module. Statements and payment can be reproduced easily. This module is typically shared between front-desk and billing staff. Office manager can customize role based permissions to the specific needs of the clinic.

Consolidated account view
Accounts module gives your frontdesk/billing staff a consolidated view of the patient charges and payments in an easy to read format. User can view information at visit level or easily drill down to CPT level. User can also view only visits with payment outstanding from patient to quickly navigate to areas where patient has questions/concerns.

Patient payment entry
User can enter a patient payment quickly and post it against a single visit or a group of visits. alloFactor makes selecting the right visits easy by displaying the balances due on each visits in the selection window. Adjustments or writeoffs is also a click of a button. Reversing a payment can be done by posting a negative payment. alloFactor posts all payments instantly thus eliminating the need to lockout users at the end of the day to run reconciliation routines or to advance the posting date. Any payment entered is immediately reported through the reporting module.

Patient payment entry
User can print a patient receipt for the payment entered. While a default format for the patient receipt is
included, it is completely customizable. Also user can choose a previous patient payment and print a duplicate patient receipt.

Financial History
The transaction tab in alloFactor breaks down the financial history of the patient into transactions in a ledger format showing the type of transaction, date of posting, date of visit, notes and amount. User can also print duplicate receipts.

Patient-friendly statements
alloFactor has default format which conveys the necessary information to the patient in an easy to read format. The patient statement format is customizable to suit your practices preferences. Default patient statement shows the responsible party and insurance information. It has a description of the visit date, charges, insurance payment, adjustment, patient payment and outstanding balance so that your staff is not inundated with billing questions. It also has a tear off section that the patient can mail back to you to help you post payment against the correct account.

Patient statement mailing service
If you do not want your staff to spend time in printing, sorting and mailing patient statements, you can print them remotely to alloFactor print and mail service and within 48 hours we will mail them out. You can print them individually or as a batch. You can setup default rules such as mail on a certain date of the month or mail only accounts with a balance above a certain amount. A small fee applies for each statement mailed out. Patient statement status will be updated upon mailing.

Patient Service Summary Receipt
If your patient requests a balance or if a lawyer or workers compensation needs a summary of services rendered, user can print a summary of services rendered. It prints the details in a tabular form listing each date of visit, billed amount, payer and patient payments and any outstanding balances.

Patient Notes
Enter and store notes on patient into a centralized location to handle special handling. If you set a note as an alert, any staff including frontdesk and physician accessing the patient record will be notified of the alert. This allows you to mark patients with high outstanding balances or patients who are no longer an active client at the clinic. An alert can be turned off after review by the staff.
