Document Management
 

Document management is a shared component between the practice management and EMR systems. It is highly useful to scan in or fax in documents, and then organize, view or print them. The purpose of this module is to help you reduce use of paper and provide an alternate source for information in paper charts.

Scanning documents
alloFactor allows you to scan insurance cards, registration documents, patient assignments, superbills and EOBs directly from a TWAIN complaint scanner. The scanner may be connected directly through USB cable or through a network. Based on the capabilities of the scanner you can set the resolution, preview, speed, feeder and scan modes (single side vs. double side). If you are scanning large volumes of files, you can also set them for batch mode so that the upload happens in the background.

Faxing in documents
Now patients or payers can fax your practice a document and instead of your fax machine printing to a printer, alloFactor will receive the fax, convert it to an Adobe Acrobat PDF file and make it available to your staff through alloFactor. A new incoming fax will appear as a new task within alloFactor. The frontdesk or nurse can review the document and then reassign it to the physician or appropriate staff. Alternatively it can be filed directly into a patient chart. An additional charge applies for each page faxed to this number.

Viewing documents
Documents can be viewed within different modules based on the type of document. EMR documents are viewable within the patient charts. Superbills and EOBs are dated and saved in Claims module. Insurance cards are viewable across Calendar, Claims and Account module. Users can view, enlarge, shrink or rotate documents. Document status can be changed or routed to another user for further processing. Users can also view in dual monitor format to view document in one screen while keying in the data in another screen.

Indexing and Retrieval
Documents can be indexed and associated with charts or claims based on type of document, date of scan and date of visit. This helps in easy retrieval at a later point in time. You can also download the document to your local pc and print them at any time.
