Medical transcription service process

Dictation pickup
We install the automatic file up-loader software onto the desktop or server where voice files reside. This component of the iTrans software scans specified directory for new voice files and they are uploaded at specified intervals.

Transcriptionist
Uploaded dictations are routed to transcriptionists based on his/her specialty. Our transcriptionists use state-of-the-art transcription equipment and dictionaries to ensure accuracy. Each year our transcriptionists undergo mandated training to update their skills. At the end of the transcription, the document is released to the Editor. Dictations are assigned to individual transcriptions based on

Specialty - specialty to ensure knowledge in specialized field terminology.

Familiarity - familiarity with specific accents that is gained over time

Experience - varying difficulty of transcribing individual physicians

Editor
At the next step, our editors review the transcription for accuracy and completeness. Any inaccurate or left out words from transcriptionists are corrected at this time. We maintain an optimal ratio of 3:1 between transcriptionists and editors.

Comprehensive - Each transcription is cross-verified by an experienced proof reader.

Experience - Our proof readers have atleast 4 years of experience in transcription and quality control.

Quality Controller(QC)
Quality Controllers are responsible for the overall quality of the transcription. Each Quality Controller has a designated set of transcriptionists and editors assigned to them. They verify each file to ensure that it meets the quality guidelines in terms of blanks and accuracy.

Production Manager(PM)
Production Manager has the overall responsibility for the delivery including timeliness and quality. Production Manager acts as the single-point-of-contact with each client. Once the QC has reviewed a batch of files, the PM is responsible to do a final quality check before releasing to the client. The final product does not go to the customer if he/she does not feel satisfied with the level of quality.

Delivery
alloFactor delivers transcribed reports by next morning directly into alloFactor EMR or downloaded automatically onto practice's server or printed directly to an on-premise printer
