Q: Will alloFactor Reminder system work with non-alloFactor practice management system?
A: Yes, alloFactor reminder system will work only any scheduling software as long as it has the ability to export the daily appointment data.

Q: What happens if a patients phone number is missing or invalid?
A: Reminder system will not call if phone number is missing or of invalid format.

Q: Does Reminder system use human voice?
A: Yes, alloFactor uses an friendly, natural human voice to deliver your script. Common patient names are also delivered as human voice but uncommon names are delivered using text-to-speech.

Q: What phone number will the patient see on their phone?
A: We dial using your clinics phone number.

Q: How do I send the list of patients to call?
A: If you use alloFactor Calendar to schedule appointments, there is no need to send us any information. Reminder system directly interfaces with our practice management system and automatically pulls down the list to call. If you use a different scheduling system, then your staff will export the data daily and upload to our system. We will work with you to show how to export the data from your system.

Q: Is there any charge other than per call fee?
A: There is a one time fee of $24.99 to record voice. This fee will be charged only if you decide to continue after your trial period. After trial period, you will incur 10¢ per actual call made.

Q: Will I be charged a fee each time you try to reach a patient?
A: No, you will be charged a fee only once per appointment.

Q: Do I need any other hardware or software?
A: No. You donot need any additional hardware or software.

Q: How can I see the results of reminder calls?
A: If you use alloFactor Calendar, results show up immediately on alloFactor calendar. Confirmed appointments will indicate the status as confirmed icon. Cancelled appointments will disappear from calendar (if cancellation/no shows are set to hide) thus freeing up appointment windows for your staff to fill up immediately. If you use a different calendar, the daily results will be emailed to you.

Q: When do you recommend calling a patient to remind them of their appointment?
A: We recommend calling them 2 days ahead. That keeps the reminder fresh in patient's mind while leaving sufficient time for your staff to fill up any open slots.

Q: How do you time your appointment reminder calls?
A: Our system recognizes the timezone your clinic is at and calls patients after 10:00AM local time but before 6:00PM.

Q: What happens if a patient does not pick up the phone?
A: If the answering machine comes on, reminder system leaves a voicemail. If we are not able to deliver a voicemail, then we automatically try in 30 minutes.

Q: How can a patient confirm or cancel their appointment?
A: After reminder system delivers the message, it prompts the patient to press 1 to confirm, 2 to postpone or 3 to cancel.

Q: Can you customize the message?
A: Yes. message can be customized for each provider, location and procedure.

Q: Do I need to make a long term commitment?
A: No. you can discontinue the service any time you choose to.

Q: Are you HIPAA compliant?
A: Yes. When you register alloFactor, we are automatically setup as a business associate of the covered entity (your clinic) under the privacy standards set forth by HIPAA regulations.

Q: What is the minimum fee of $20/month?
A: We charge all accounts that subscribe to appointment reminder calls a minimum of $20/month (ie; 20c* 100 calls) if they do not meet monthly minimum of 100 reminder calls per month.
